We have noticed having a checklist is helpful for some participants to structure their thoughts, especially as this end-of-project-transition-period is very often a source of stress and anxiety for the volunteers.
Step by step guide
ESC volunteers ending their ESC activities are invited to spend one leisure day with CBB coordinators to have good time together but also to inform them about some important things to take care of before the end.
After this time of discussion, a checklist can be handed out to help them follow the steps. As a support, we also use the ESC BUDDY APP- “Timeline” function – ”, to identify pending tasks and initiatives to be taken.
Here are usual items you find in our list :
ADMINISTRATIVE LOCAL DUTIES
– If you have a (Belgian/local) bank account and you do not wish to stay in Belgium: First, empty the account and then close it.
– Inform the municipality that you are leaving.
ESC ADMINISTRATIVE DUTIES
– Sign a participant list with CBB
– Sign a document proving that you have received all your ESC allowances with CBB.
– Complete and sign your Youth Pass. If you do not have access to it, contact your project coordinator in CBB. An automatic email from the youth pass service with a link to access your profile is sent. First remember to check your spam emails. If you need individualized help to do this, don’t hesitate to call for help.
– Complete your ESC participant report as soon as you receive a notification in your mail box
– Don’t wait too long before taking care of your health reimbursement requests: the mutual insurance company in Belgium (for EU volunteers having the EHICard) can take up to 2 months to reimburse you and you have a maximum one year to contact the complementary insurance HENNER.
BYE BYE DUTIES
– Hand over your Sim card if you haven’t used it.
– Make sure to leave your room empty and clean for the next volunteer. If there is damage or things to report in the apartment, inform the contact person for the management of the accommodation.
– If you want to get rid of certain personal belongings to free some space in your suitcase (books, clothes, shoes, etc.), you can drop them off at a second-hand store near your place. Just make sure you don’t leave them behind in your bedroom.
– It would be great if you could send us a report on your project, a few photos and some advice to pass on to future volunteers!
– Don’t forget to buy your favourite Belgian products to share with your family and friends
– Please remember to leave the key to your accommodation before you leave: leave it in a visible place in your room or give it to the person who manages the accommodation.
– Finally, the end of a project like this, made up of lots of meetings, is something to celebrate! Don’t hesitate to invite your colleagues too 🙂

The document can easy get lost if done during an outside leisure activity; the ESC coordinator can remind the volunteers that the content is available on the ESC BUDDY APP.
The checklist preferably goes together with face-to-face explanations.
